Job Summary:
• Warehouse duties and responsibilities include receiving and inspecting materials, maintaining accurate inventory records, proper storage and organization, issuing materials to authorized users, conducting physical inventory inspections, and ensuring storeroom safety and security. As well as adjusting stock levels, when stocks run low, they start rearranging and maintain a clean and orderly workplace.
• The Purchasing Officer, also known as the Procurement Officer, sources and purchases goods, their responsibilities include maintaining inventory levels, negotiating with vendors, and ensuring high quality materials are purchased.
Key Responsibilities:
A. Warehouse related functions
• Arranging and maintaining inventory, receiving, inspecting and verifying incoming and outgoing goods.
• Check for discrepancies, damage, or errors and report any problems to the appropriate department, such as accounting.
• Store incoming goods in designated areas, label and store them safely, ensuring the storage plan complies with any special handling requirements for size, weight, or temperature.
• Ensure orders are completed accurately and in a timely manner, preparing them for delivery or shipping. • Handle packing, labeling and consolidating items for shipping out.
• Record and report warehouses and all storage areas daily, keep clean, neat and organized.
• Implement safety protocols and service standards to maintain a safe work environment.
• Coordinating the disposal of surplus or scrap material according to established procedures.
• Supervises and participates in the recycling of materials.
B. Functions related to (purchase)
• It involves negotiating contract terms, pricing and payment methods with suppliers to secure the best deals for the company.
• Order and Delivery Management: Process purchase orders, track their status and ensure timely delivery. Resolve any issues or discrepancies with orders, such as delays, incorrect items, or damaged goods.
• Documentation and compliance: Maintain accurate records of all purchases.
• Inventory control: Monitor inventory levels to prevent inventory hoarding or overstock, and reorder as necessary.
• Work and coordinate with other departments, such as finance, operations, and electrical and mechanical, to understand needs and meet them.
• Inform the purchasing department in advance of items reaching duplicate orders to order from supplies. • Collect expense reports, and monthly inventory reports.
•Attend departmental meetings, plant-wide meetings and trainings.
•Perform other duties as assigned by the Operations Manager or as directed by senior staff. C: Other duties • Any other work requested by managers and human resources.
