Job Summary

The Regional Logistics Coordinator is responsible for monitoring and managing outbound deliveries locally and regionally, ensuring smooth workflow in order processing, invoicing, and shipment transportation.

The Regional Logistics Coordinator supports efficient supply chain operations by coordinating with internal teams and external partners, resolving discrepancies, maintaining accurate documentation, and contributing to process improvements that enhance delivery efficiency, billing accuracy, and customer satisfaction, while from the other side can properly assist on inventory storekeeping matters and basic facility management.

• Stakeholder Coordination
• Build and maintain relationships with internal and external partners.
• Coordinate and follow up on orders picking, packing, deliveries and returns.
• Planning and organizing deliveries based on proper communication with sales team, and/or clients.
• Handle any delay, mis-discharge or incident in a fast and efficient way while limiting deviations and minimizing extra cost.
• Liaise with Fleet team and/or forwarders for order confirmation and delivery of items.
• Prepare all required reports on a periodic basis that supports control and provide visibility to all related stakeholders.
• Liaise with stakeholders (customers, sub-distributors, sales managers, production units and logistic personnel) to meet and exceed their expectations.
• Verify and validate content of invoices/delivery notes/promotions as per requirements and order information while managing and resolving complications or discrepancies.
• Initiate all system transactions through Company’s ERP systems, SAP (Sales Orders, Sales Return, Credit Notes, Stock Transfer, promotions, invoices, etc.).
• Provide required support in a timely manner including reviewing and checking orders/requests according to established department policies and procedures.
• Compute prices, discounts, commissions and shipping charges as required.
• Ensure compliance with regulatory and competent authorities.
• Maintain sufficient filing system by email, ERP system, and hard-copy filling.
• Prepare shipment documents and forward to the customers.
• Liaise with the 3rd Party Logistics Provider (3PL) to obtain information relating to the preparation and shipping of customer purchase orders.
• Raise RMA (Returns Management Authorization) and Faulty Product requests from customers, notifying the 3PL and Credit Control of pending returns.
• Handle and resolve queries raised by Customers, Sales Manager or the Finance Department related to invoicing and inventory transfer.
• Resolve product or service problems by clarifying the customer’s complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution.
• Manage incoming calls/e-mails and customer service inquiries.

Qualification

• Bachelor’s degree in Business Management, Supply Chain, Logistics, or a related field.
• Understanding of supply chain and logistics operations, including outbound deliveries and inventory flow.
• Knowledge of shipping, invoicing, and warehouse processes.

Experience

• Minimum 2 years of proven experience in a logistics coordination, supply chain, or operations role.
• Finance background is a plus.
• Proven experience in order processing, invoicing, stock transfers, credit notes, returns, and promotions.
• Practical exposure to SAP or similar ERP systems for sales orders, invoicing, and inventory transactions.
• Demonstrated experience in handling shipment delays, discrepancies, mis-discharges, and incident resolution while controlling costs.
• Exposure to shipping aesthetic products and/or medical equipment is a plus.
