Cosmo Di is a premium aesthetic clinic in Dubai. We work with individually tailored treatment plans and a high standard of care, and the client experience matters to us as much as the medical result.
We’re hiring a Patient Coordinator to own that client experience and keep the clinic running day to day.
Please read the responsibilities carefully. This is not a front-desk “greet and seat” role. You are the main point of contact for clients and the operational core of the clinic — the workload is real and varied, and we’re looking for someone who wants that kind of role, not just a quiet reception desk.
Responsibilities
1) Client communication and conversion:
– Handle all client messages across WhatsApp, Instagram and other channels in clear, professional English
– Respond to inquiries fully and on time, answer questions, and convert chats into booked appointments
– Explain the clinic’s approach and treatments, and guide clients to the right first step
– Follow up with clients to bring them back for repeat visits, and re-engage clients who haven’t been in for a while
2) Bookings and the client journey:
– Manage the booking calendar and appointment confirmations
– Track and confirm next-day appointments, follow up on unconfirmed ones
– Welcome clients on arrival and manage the full visit from check-in to check-out
3) Clinic operations:
– Coordinate with specialists throughout the day — client arrivals, room readiness, timing and flow between treatments
– Keep the clinic in order: cleanliness standards, stock and supplies, inventory control
– Handle daily payments, petty cash and end-of-day reconciliation
– Opening and closing routines
– Prepare regular reports on bookings, sales and client metrics
– Coordinate with suppliers and external contractors at the operational level
– Keep client records and consents in order, and maintain confidentiality of client information
Requirements
Excellent written and spoken English
Excellent communication and people skills, with a service-oriented mindset
Sales sensitivity — able to convert interest into bookings
Ability to multitask and stay organised across many parallel tasks without dropping any
Willingness and ability to learn quickly and adapt
Reliable and attentive to detail
Experience in a premium client-facing service is required; experience in an aesthetic clinic, beauty or hospitality is a plus
Comfortable with booking systems and messaging tools
