Operations Executive – FMCG & F&B Full Time

The Operations Executive is responsible for overseeing and coordinating FMCG and F&B operations across Persona brands. The role focuses on inventory management, production coordination, supplier management, packaging control, logistics coordination, reporting, and operational support.

The role is based remotely and works closely with warehouse teams, stock keepers, suppliers, manufacturers, kitchens, and branches to ensure smooth day-to-day operations.

FMCG OperationsProduction & Manufacturing Coordination

• Coordinate with manufacturers and production partners for all FMCG products.
• Request and negotiate quotations from manufacturers and suppliers.
• Prepare and track production plans based on forecasted demand.
• Follow up on production timelines and delivery schedules.
• Coordinate shelf-life testing and product compliance requirements.
• Support product registration and regulatory approval processes.
• Maintain production records and product documentation.

Inventory Management & Stock Control

• Maintain accurate FMCG inventory trackers across warehouses and branches.
• Monitor daily stock movement and inventory levels.
• Track batch numbers, expiry dates, and shelf-life status.
• Monitor slow-moving and near-expiry products.
• Recommend stock redistribution and utilization plans.
• Generate inventory reports and stock forecasts.
• Ensure inventory records are aligned with physical counts conducted by warehouse teams.

Packaging Management

• Coordinate sourcing of FMCG packaging materials.
• Obtain and compare supplier quotations, MOQs, lead times, and payment terms.
• Review packaging samples and specifications.
• Forecast packaging requirements based on production plans and sales trends.
• Maintain packaging inventory trackers.
• Monitor packaging costs and identify optimization opportunities.
• Coordinate packaging replenishment with suppliers and manufacturers.

Logistics & Distribution Coordination

• Coordinate deliveries between manufacturers, warehouses, retailers, and branches.
• Schedule dispatches and delivery requirements with logistics partners.
• Track order status until successful delivery.
• Resolve delivery delays and operational issues.
• Ensure stock availability supports business requirements.

Retail & B2B Support

• Coordinate FMCG order requirements for B2B customers and retail partners.
• Follow up on product availability across distribution channels.
• Support account managers with inventory and stock-related information.
• Track product performance and stock movement by customer.

F&B OperationsKitchen & Branch Operational Support

• Support kitchens and branches with daily operational requirements.
• Coordinate operational needs between branches and central teams.
• Monitor order volumes and operational readiness.
• Follow up on operational challenges and support issue resolution.
• Ensure branches have the required packaging and inventory levels.

Packaging Management

• Maintain packaging inventory trackers for all kitchens and branches.
• Monitor packaging consumption and replenishment requirements.
• Coordinate packaging procurement with suppliers.
• Compare quotations and supplier proposals.
• Track packaging costs and usage trends.
• Identify opportunities to reduce packaging waste and improve efficiency.

Inventory & Consumption Control

• Monitor inventory levels across kitchens and branches.
• Track daily consumption trends for packaging and operational supplies.
• Monitor near-expiry items and inventory risks.
• Analyze variances and discrepancies reported by branches.
• Support waste reduction initiatives through improved inventory planning.

Order & Operations Coordination

• Coordinate daily order requirements between kitchens and operational teams.
• Monitor order fulfillment performance and operational capacity.
• Coordinate inventory transfers when required.
• Ensure smooth communication between operations, kitchens, and warehouse teams.

Reporting & AnalysisSales & Inventory Reporting

• Track daily sales performance across all brands.
• Maintain sales and inventory dashboards.
• Analyze stock consumption trends.
• Prepare weekly and monthly inventory reports.
• Forecast inventory and packaging requirements based on sales trends.
• Highlight risks related to stock shortages, overstocking, or expiry.

Supplier & Cost Management

• Maintain relationships with suppliers, manufacturers, and service providers.
• Obtain quotations and negotiate commercial terms.
• Track supplier performance and lead times.
• Monitor operational costs related to packaging, manufacturing, and logistics.
• Identify opportunities for cost savings and operational efficiencies.

Skills & Qualifications

• Experience in FMCG, supply chain, inventory management, or F&B operations.
• Strong understanding of inventory control and stock management.
• Experience coordinating with suppliers, manufacturers, and logistics providers.
• Strong analytical and reporting skills.
• Advanced Excel or Google Sheets skills.
• Highly organized with strong attention to detail.
• Strong communication and follow-up skills.
• Ability to manage multiple projects and stakeholders remotely.
