Administrative Assistant – focus on Human Resources Department

We are looking for a reliable Administrative, Personal Assistant with knowledge In Human Resources Department for our operation in the Mena region, Europe, Asia and America.
The goal is to enable the company’s leaders to make sound business decisions and meet the company’s objectives.
** English language must be extremely proficient (Verbal, Reading, and Writing)
DUTIES AND RESPONSIBILITIES
1. Support day-to-day HR and administrative operations across the organization.
2. Maintain employee records, attendance logs, leave tracking, and personnel documentation.
3. Prepare and distribute daily, weekly, and monthly attendance and workforce reports.
4. Monitor employee clock-in/clock-out activities and follow up on attendance discrepancies.
5. Assist with employee onboarding, training coordination, orientation programs, and internal communications.
6. Support recruitment activities by coordinating interviews, communicating with candidates, and maintaining recruitment records.
7. Help develop, update, and communicate company policies, procedures, and employee guidelines.
8. Serve as a point of contact for employees regarding administrative and HR-related inquiries.
9. Coordinate meetings, prepare agendas, maintain minutes, and follow up on action items.
10. Manage executive calendars, schedules, appointments, and departmental communications.
11. Prepare management reports, executive summaries, project updates, and operational recaps.
12. Organize domestic and international travel arrangements, including flights, accommodations, transportation, and business itineraries.
13. Coordinate hospitality activities, corporate events, business dinners, employee visits, and company gatherings.
14. Review and process corporate expenses, expense reports, supporting documentation, and reimbursement requests.
15. Maintain records of company subscriptions, licenses, contracts, and vendor-related information.
16. Support budgeting, expense tracking, and operational reporting initiatives.
17. Coordinate office purchases, orders, returns, and vendor communications.
18. Assist in the preparation of training materials, operational manuals, onboarding documents, and process guidelines.
19. Monitor ongoing projects and ensure timely follow-up on tasks, deadlines, and deliverables.
20. Maintain various company databases, contact directories, organizational records, and reporting systems.
21. Handle confidential employee and company information with professionalism and discretion.
22. Provide general administrative and operational support to management and cross-functional teams as required.
REQUIREMENTS
1. Bachelor’s degree in Human Resources, Business Administration, or a related field.
2. Experience 2-3 years in Human Resources, Administration, Office Management, or Operations Support.
3. Strong organizational and multitasking abilities.
4. Excellent written and verbal communication skills.
5. Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint.
6. Experience with employee record management, attendance tracking, and reporting.
7. Familiarity with expense management and HR systems is an advantage.
8. Strong attention to detail and ability to manage confidential information.
9. Ability to work independently while effectively supporting multiple departments and stakeholders
Candidate should be willing to work based on American Standard Eastern Time zone.
