About the Role: We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive support to Xtend CEO. This is a pivotal role that requires a professional with a “can-do” attitude, exceptional communication skills, and the ability to navigate a fast-paced, dynamic environment. As the CEO’s right hand, you will ensure the seamless operation of the executive office, managing complex logistics and acting as a primary point of contact for internal and external stakeholders.
Key Responsibilities:
Complex Calendar Management: Proactively manage the CEO’s calendar, prioritizing appointments, resolving scheduling conflicts, and ensuring time is allocated efficiently toward strategic goals.
Travel Coordination: Orchestrate end-to-end international and domestic travel arrangements, including flights, accommodation, ground transportation, and visa processing. Provide detailed itineraries to ensure smooth transitions.
Communication & Liaison: Serve as a gatekeeper and primary point of contact. Draft, review, and manage professional correspondence in high-level English and Hebrew.
Meeting Coordination: Organize board meetings, executive sessions, and all-hands events. Prepare agendas, take minutes when required, and ensure follow-up on action items.
Project Support: Assist with the preparation of presentations, reports, and briefs. Conduct background research and gather information to prepare the CEO for meetings and public appearances.
Operational Excellence: Maintain the highest level of confidentiality and professionalism. Manage expenses, handle sensitive documentation, and streamline office administrative processes.
Requirements:
Experience: A minimum of 3 years of experience as an Executive Assistant to C-level management (CEO/President) – Mandatory.
Language Skills: Exceptional proficiency in English (written and verbal) with the ability to draft formal documents and communicate with global partners – Mandatory.
Availability: High level of availability and flexibility to address urgent matters or travel changes outside of standard working hours.
Advanced skills in Microsoft Office (Outlook, PowerPoint, Excel, and Word) and familiarity with virtual meeting platforms (Zoom, Teams, etc.).
