Job Title Security Clearance Coordinator
Location : Saudi Arabia
Role Purpose: The Security Clearance Coordinator at Al Bawani company is responsible for coordinating and managing all security clearance processes related to personnel, subcontractors, vendors, and companies involved in the project in compliance with Ministry of Defense (MOD) security requirements and company policies. The role ensures that no individual, subcontractor, or organization gains access to project sites, systems, or sensitive documents without obtaining the required security clearance approvals.
Key Accountabilities Key Activities
Security Clearance Coordination & Processing
• Coordinate all MOD security clearance activities for employees, subcontractors, consultants, vendors, and companies involved in the project.
• Collect and review all required security clearance documents and forms from personnel and organizations.
• Verify completeness, accuracy, and validity of submitted documentation before submission.
• Prepare and compile security clearance packages in accordance with MOD requirements and project protocols.
• Submit clearance applications and supporting documentation to MOD authorities and authorized channels.
• Ensure timely processing of new, renewal, and expired security clearances.
Clearance Tracking & FollowUp
• Monitor and track the status of all submitted security clearance requests.
• Maintain regular follow-up with MOD authorities and relevant stakeholders regarding approval progress.
• Coordinate with subcontractors and project teams to resolve clearance-related issues or missing documents.
• Escalate delayed or rejected cases to management for resolution.
• Maintain updated clearance status reports and dashboards for management review
Security Compliance & Access Control
• Ensure strict compliance with MOD security regulations, company policies, and confidentiality requirements.
• Verify that no employee, subcontractor, or company accesses the project site or sensitive documents without approved clearance.
• Coordinate with site security teams regarding access permissions and restrictions.
• Control and monitor document access permissions for authorized personnel only.
• Support implementation of security protocols and restricted access procedures.
Records Management & Documentation Control
• Maintain organized and confidential records of all security clearance files and approvals.
• Develop and maintain security clearance databases and tracking systems.
• Ensure proper filing, archiving, and retention of security documents in line with company and MOD requirements.
• Maintain accurate logs for personnel, subcontractors, and company clearances.
• Protect sensitive information and always ensure data confidentiality.
Stakeholder Coordination & Communication
• Coordinate with project management, HR, subcontractors, and external agencies regarding security clearance requirements.
• Provide guidance to employees and subcontractors on MOD security procedures and documentation requirements.
• Support onboarding activities by ensuring clearance readiness before mobilization.
• Act as the focal point for security clearance communication and inquiries.
Reporting & Continuous Improvement
• Prepare periodic reports on clearance status, pending approvals, expired clearances, and compliance issues.
• Identify process gaps and recommend improvements to enhance clearance processing efficiency.
• Support audits, inspections, and compliance reviews related to project security clearance activities.
• Assist management in developing and improving security clearance procedures and workflows.

Necessary Knowledge and Experience
• Minimum 5–8 years of experience in security coordination, security clearance management, project administration, or government relations roles.
• Strong experience dealing with MOD security clearance procedures and confidential documentation.
• Experience coordinating with subcontractors, government authorities, and project teams.
• Familiarity with access control procedures, security documentation, and restricted project environments.
• Strong understanding of compliance, confidentiality, and security protocols.
• Experience in large-scale construction, infrastructure, or defense-related projects is highly preferred.
Education and Certification Minimum Requirements
• Bachelor’s degree in business administration, Security Management, Public Administration, or related field.
• Security-related certifications are an advantage.
• Training in confidentiality, information security, or access control is preferred.
