ROLE SUMMARY
The Portfolio Executive is responsible for overseeing and managing a designated portfolio of properties on behalf of landlord clients. This role serves as the primary point of contact for both landlords and tenants, ensuring properties are maintained, occupied, and performing in line with client expectations and local regulatory standards. The Portfolio Executive plays a central role in driving client satisfaction, retention, and portfolio growth within the Rentech by fäm division.
KEY RESPONSIBILITIES
Landlord & Client Relations
• Act as the main point of contact for a portfolio of landlord clients, providing regular updates on property performance, tenancy status, and financial summaries.
• Build and maintain strong, long-term client relationships to ensure high satisfaction and portfolio retention.
• Communicate promptly with landlords on rental pricing, market conditions, and property improvements to optimise returns.
Tenancy Management
• Handle the unit lifecycle from onboarding to offboarding on the internal CRM promptly.
• Oversee the full tenancy lifecycle including renewals, vacating procedures, move-in/move-out inspections, and deposit reconciliations.
• Negotiate lease renewals and manage rental increases.
• Handle tenant communications, resolve disputes, and escalate matters where necessary in a professional and timely manner.
• Ensure all tenancy agreements, addendums, and documentations are legally compliant and accurately filed.
Leasing & Vacancy Management
• Proactively manage vacant units to minimise void periods through coordination with the leasing team and marketing channels.
• Vet and qualify prospective tenants and facilitate timely onboarding.
• Ensure all Ejari registrations are completed accurately and within the required timeframes.
Maintenance & Property Condition
• Coordinate maintenance requests between tenants and approved contractors, ensuring timely resolution and cost-effectiveness.
• Conduct periodic property inspections and report findings to landlords with recommended actions.
Financial & Administrative
• Monitor rental payment schedules, chase arrears, and escalate collection issues as needed.
• Prepare and issue landlord statements, maintenance invoices, and management fee reconciliations.
• Maintain accurate, up-to-date records across internal CRM’s and RERA-compliant platforms.
Compliance & Regulatory
• Ensure all managed properties and tenancy documentation comply with Dubai Land Department (DLD) and RERA regulations.
• Stay current with changes to Dubai rental law, Ejari requirements, and real estate regulations.
• Coordinate with legal counsel or relevant authorities on dispute resolution, eviction proceedings, and RERA notices where required.
QUALIFICATIONS & EXPERIENCE
• Minimum 2 years of experience in property management within Dubai.
• Strong knowledge of UAE tenancy law, Ejari, and DLD procedures.
• Proven track record of managing client relationships and residential/commercial portfolios.
• Proficiency in property management softwares / CRM’s
• Bachelor’s degree in Real Estate, Business Administration, or a related field is preferred.

• Exceptional communication and interpersonal skills — confident dealing with landlords, tenants, and contractors.
• Highly organised with strong attention to detail and the ability to manage multiple properties simultaneously.
• Solutions-oriented with the ability to handle complaints, disputes, and escalations calmly and professionally.
• Self-motivated and target-driven with a proactive approach to portfolio performance.
• Proficient in Microsoft Office Suite; experience with CRM or property management platforms is an advantage.
• Arabic language skills are advantageous but not required.
