Position: Fleet, Facility and Procurement Coordinator
Job Summary:
As Fleet, Facility and Procurement Coordinator, you will be responsible for supporting the day-to-day operational tasks related to fleet management, procurement activities, and facility upkeep.
Key Responsibilities:
Fleet Support
Assist in tracking vehicle usage, fuel consumption, and maintenance schedules.
Help coordinate vehicle dispatching and ensure drivers submit required logs/reports.
Maintain physical and digital files for vehicle registration, insurance, and service records.
Follow up with drivers for checklist completions, mileage updates, and cleanliness standards.
Procurement Support
Help collect and compare supplier quotations for various purchases.
Assist in preparing purchase requests, purchase orders, and tracking deliveries.
Maintain an organized archive of supplier invoices and contracts.
Support inventory updates and report low stock items when observed.
Facility Support
Assist in monitoring cleaning schedules, minor maintenance needs, and supply levels.
Report any facility issues such as lighting, plumbing, or any issue related to the relevant technician or vendor.
Help coordinate with service providers (e.g., maintenance, pest control, security) for timely visits.
Track and refill office and kitchen supplies as needed.
Qualifications:
Bachelor’s degree in Business Administration or a related field
Up to 2 years of experience in a similar role is a plus.
Strong organizational and time-management skills
Excellent communication and interpersonal skills
Must hold a valid motorcycle driving license
Ability to work under pressure and meet tight deadlines
Proficient in Microsoft Office (Excel, Word, email communication)
Positive attitude, eagerness to learn, and ability to work in a team.
