Manage all travel-related arrangements, including visa applications, flight and hotel bookings, airport meet-and-greet services, transportation, and all associated logistics for employees and guests.
Coordinate and manage internal and external events such as Speaker-Led Meetings, Representative-Led Meetings, conferences, town halls, workshops, and team off-site meetings. This includes obtaining quotations, evaluating competitive options, securing venues, arranging travel and accommodation for attendees and speakers, and coordinating catering and event logistics.
Ensure all pre-event and post-event documentation is completed accurately and in compliance with internal policies and regulatory requirements.
Liaise closely with the Finance team to ensure timely processing of event-related payments, invoices, and budget tracking.
Maintain organized records of events, expenses, and budgets by business unit and brand to support reporting and audit requirements.
Coordinate with internal and external stakeholders to obtain all necessary documentation and approvals required to complete transactions and event processes efficiently.
Support GCC Country Leaders and the GCC ABC Manager with any additional administrative or ad hoc tasks as required.
Maintain strict confidentiality and professionalism when handling sensitive business information and communications.
Key Skills & Competencies
Strong experience in managing and organizing events within the Kingdom of Saudi Arabia.
Strong knowledge of Events and Travel Management, with experience handling high-profile events, including pharmaceutical-related events and conferences.
Must have a pharmaceutical background or prior experience in the pharmaceutical field.
Excellent attention to detail with the ability to maintain accuracy in a fast-paced environment.
Excellent interpersonal, verbal, and written communication skills.
Strong organizational and time-management abilities, with the capability to manage multiple priorities independently.
